We suggest booking with us 6-12 months from your wedding date.

However, we do work with shorter lead times and can take bookings 3-6 months out from your date, provided we have availability.

We love to receive as much information as possible before we book in our initial consultation.

This gives us an insight into your wedding plans and where we can assist.

Once we’ve received your form, we’ll have a 45 minute - 1 hour online meeting. Consultation times are available on weekdays, during business hours.

We prefer to schedule a time you’re both available, as we love putting names to faces.

Of course! We are more than happy to work alongside your chosen suppliers. However, we do love when a couple reaches out to us in the initial planning stages. Curating a team of talented suppliers is what we do best. All of our recommended event specialists truly are the best in the industry, having an A team on your side will elevate all the stress during the planning process and on the day.

Yes, a site visit is included with our full styling service.

12 months for peak season (Oct–March); 4–8 months for off-peak (April–Sept).

Yes — interstate and regional travel is available, with fees costed to the brief.

No, these are charged as a separate fee.

Yes, after-hours fees apply.

Fees apply for events more than 50km from Melbourne CBD, based on distance, time, staffing and transport — with accommodation, flights or freight quoted separately for regional and interstate events.

50% deposit on the service fee, a second instalment mid-process, and the final balance due 2 weeks before the wedding.

Yes, provided the full amount is paid before the wedding day.

Deposits and payments are non-refundable. Cancellations within 90 days of the event incur the full agreed fee, and any vendor costs are the client's responsibility.

Yes, in cases beyond reasonable control (e.g. natural disasters, government restrictions), with a new date booked within 12 months, subject to availability. Payments are held as credit; an $800+GST admin fee applies if supplier changes are needed, and redesign work is billed hourly.

The client is liable for damaged or missing items, charged at three times the item's hire price, payable within 14 days.

A wet-weather contingency plan is required for all outdoor events. Ruby & James can help coordinate options with the venue, though setup and item use may be adjusted for conditions.
